Tent Rental Planning 101
First Steps for Planning a Tent Rental
Whether you’re planning a private event, a corporate gathering, or managing a construction site, getting started with a tent rental doesn’t have to be overwhelming. Here are the essential first steps to help you avoid delays, stay on budget, and feel confident before requesting a quote.
Check Local Permit Requirements
Before anything is installed, check if a permit is required. Many municipalities require one for temporary structures over a specific size. If you’re unsure, your rental partner should guide you — at JK Rentals, we verify and pull utility locates on every job. We’ll let you know if permits are required and help ensure compliance with local code.

Evaluate Your Site Conditions
Where and how your tent is installed makes a big difference — both for safety and cost. Be ready to answer these questions:
- Is this a high-traffic area with access restrictions?
- What type of surface are we working with? (Grass, concrete, asphalt, gravel, etc.)
- Is the area level, or will we need to correct for a slope?
- Are there underground utilities or overhead obstructions?
Staking vs. Weighting
The best anchoring method depends on the installation surface and the type of tent or structure being used. When possible, staking is the most secure and cost-effective option, while weighted anchoring is used for surfaces where staking is not possible.

Consider Flooring Needs Early
Uneven ground? Muddy field? High-end event? Flooring isn’t just aesthetic — it can be essential. We offer options ranging from simple turf to full hardwood platforms and elevated floors. A level floor can stabilize your layout and protect your guests, vendors, and gear.
Tip: Bundling flooring with your tent rental streamlines installation and can reduce total costs.
Understanding Tent Types
Not all tents are built the same. Your goals, site, and budget will influence the best choice.
Book Early
We recommend reaching out at least six months in advance for the best availability, especially if your event falls during peak season or requires specialty structures, such as clearspan or Arcum tents.
But don’t panic if you’re under the wire — we regularly accommodate shorter timelines. Just know that last-minute bookings may limit your tent options, affect accessory availability, or incur rush logistics fees. The sooner you contact us, the more choices (and cost control) you’ll have.

Plan for What Goes Inside
Once your structure is secured, it’s time to consider what will be installed underneath and around it.
